General Questions

Do I have to report a cheating violation to the Office of Student Conduct?

If any violation of the UCM Academic Honesty Policy is suspected in a course, the instructor of record must fill out the Faculty Report form for Academic Misconduct and then meet formally with the students(s) involved to explain the suspected misconduct and the academic sanctions the instructor is issuing. If the student(s) admits to the violation and accepts the sanctions, the instructor and student sign the Faculty Report Form and the instructor submits the form to OSC. If the student refuses to admit that a violation has taken place or refuses to meet with the instructor, the instructor must provide written notification to the student as to the academic penalty to be assessed and indicate the matter is also being forwarded to OSC for possible disciplinary action. The student retains all rights under the grade grievance procedure.

Where can I report an Academic Integrity Violation?

If any violation of the UCM Academic Honesty Policy is suspected in a course, the instructor of record must fill out the Faculty Report form for Academic Misconduct and then meet formally with student(s) involved to explain the suspected misconduct and the academic sanctions the instructor is issuing.  If the student(s) admits to the violation and accepts the sanctions, the instructor and student sign the Faculty Report Form and the instructor submits the form to the OSC.  If the student refuses to admit that a violation has taken place or refused to meet with the instructor, the instructor must provide written notification to the student and the dean of the School/ College/Graduate Divisions offering the course outlining what remedies the instructor elects to impose. In addition, the instructor must submit a copy of the written notification, evidence, and the Faculty Report Form to OSC. The Form will be kept on file in OSC for the duration of the student’s enrollment at UC Merced minimally.

How should I respond if the student’s parents contact me?

As a faculty member, no information can be given to the student’s parents without a written consent from the student first. If they have any further questions refer the parents to the OSC.

How much time will it take to resolve a case of academic misconduct?

An academic misconduct case doesn’t necessarily take weeks to process. Once the file is sent to the OSC, the Student Conduct Officer will either set an appointment with the student or email a warning letter that continuation of such behavior in the future will result in a meeting with OSC and higher sanctions if applicable.

Do I need to have a witness in the meeting with the student?

It is not required for a professor to have a witness during the meeting but it is highly recommended.

What are my sanction options if the student agrees or doesn’t agree sign the form?

The instructor of record for the course has the authority to handle an incident of student academic misconduct directly, by any of the following means:

-Assigning a failing grade for the course.

-Assigning a failing grade for the course, with additional notation placed on the student’s transcript that the failing grade was the result of a violation of the Academic Honesty Policy.

-Assigning a failing or zero grade for the piece of work.

-Lowering the grade on the piece of work.

-Assignment of additional work or reexamination.

What if the student refuses to sign the form?

If the student refuses to admit that a violation has taken place or refused to meet with the instructor, the instructor must provide written notification to the student and the dean of the School/ College/Graduate Divisions offering the course outlining what remedies the instructor elects to impose. In addition, the instructor must submit a copy of the written notification/evidence and the Faculty Report Form to OSC. The Form will be kept on file in OSC for the duration of the student’s enrollment at UC Merced minimally.
